YOUR BUSINESS

The same reactivation process, with the right criteria for your sales team.

THE PILOT FRAMEWORK

A relevant audience.
An agreed next step.

A defined segment of your past enquiries, stalled quotes or previous customers with a current reason to reconnect.

  • One relevant audience and one agreed offer
  • A counted contact limit and campaign window
  • Written qualification and attendance criteria
  • Approved messaging, reply handling and booking
  • Agreed fees, spending limits and outcome reporting

We scope the pilot around your eligible audience, job contribution and sales capacity. Your proposal sets out the full pricing before you commit.

CLEAR TERMS BEFORE YOU START

Your audience.
Your economics.
An agreed scope.

We agree the full cost before launch.Activation, performance fees, messaging budget and stopping rules belong in the written pilot scope.
Book a database review

Fees and limits are scoped individually for each industry. Model your own costs in the calculator, then bring the assumptions to the review.

WHAT THE OFFER PROVIDES

The follow-up work.
Done with your team.

From the audience review to the final balance, these are the deliverables we agree in your pilot scope.

01

A reviewed audience.

One agreed segment of eligible records, checked for duplicates, opt-outs, active deals and a relevant reason to reconnect.

02

An approved campaign.

Your offer, voice, questions and contact limits agreed before outreach. Routine replies handled, with a clear handoff to a person.

03

Qualification before booking.

Decision-maker, service area, product fit, buying timeframe and an agreed indicative price range checked in the conversation.

04

Booking and follow-through.

Calendar coordination, reminders and rescheduling within the pilot window. Your team gets the customer's answers and conversation context.

05

Evidence for each fee.

An itemised record of qualification, booking and verified attendance. Sales and collected payments recorded separately when your team supplies evidence.

06

A clear close-out.

An outcome review, exportable campaign records and a reconciled balance. Expansion only with your approval.

Your part: supply authorised records, approve the campaign, keep assessment slots available and nominate a salesperson. Your team owns technical advice, quotes, closing and fulfilment.

THE WORK, IN ORDER

A measured start.

The contact limit, campaign window and budget are agreed before the first live send.

01 / FIT

Find a viable segment.

Review aggregate counts, contact permissions, contribution per job and the team's available capacity.

02 / PREPARE

Agree the rules.

Confirm the cohort, offer, qualification, messaging budget, calendar and human handoff. Approve the copy.

03 / LAUNCH

Release in batches.

Start with a small approved cohort. Continue while sending quality, appointment credit and capacity allow.

04 / REVIEW

Reconcile. Then decide.

Review attendance evidence, reported outcomes and fees. Return unused credit. Expand only by agreement.

DEFINE THE APPOINTMENT BEFORE LAUNCH

Qualified. And attended.

Check your pilot readiness

Qualification for your pilot

  • A unique contact with a relevant need for your offer.
  • The appropriate decision-maker in your service area or target market.
  • Fit with the commercial criteria agreed before launch.
  • An explicitly agreed appointment, with timing and format recorded.
  • A substantive conversation actually attended, with the agreed evidence.

Your team owns specialist advice, final suitability, pricing and fulfilment. Appointment format, billable criteria and attendance evidence are agreed before launch. A calendar entry alone is not proof of attendance.

Excluded from attendance fees

  • Duplicate households or contacts and existing active deals.
  • Contacts outside your agreed market or qualification rules.
  • Prospect cancellations and no-shows.
  • A reply, click or booking that never becomes an attended assessment.
  • A second charge for the same rescheduled opportunity.

The signed scope sets appointment limits, attendance windows and when new bookings pause. If a different fee model is agreed, its earning and attribution rules are written down first.

YOUR CONCERNS. OUR COMMITMENTS.

Fair questions.
Clear answers.

You should know what you are paying for, what your team needs to do and where the limits are.

What am I committing to?

One defined pilot with agreed deliverables, fees, spending limits and an end date. We write down what earns a fee, how attendance is verified and how unused funds and early stopping are handled before you start.

Will this fill my calendar with time-wasters?

We agree the qualification rules first, including decision-making authority, need, timing and an indicative price range. You receive the answers. No attendance fee for failed qualification, duplicates, cancellations or no-shows.

Will my staff have to chase every reply?

Vaultar manages outreach, routine qualification, booking, reminders and rescheduling. Your named salesperson handles specialist questions, attends assessments and reports the outcome.

Could this damage our reputation?

You approve the audience, offer and copy before launch. We agree contact limits, maintain exclusions and opt-outs, and pause sends when needed. Having a record in a CRM is not enough to establish permission to contact it.

Will you claim deals we already had?

We freeze the starting audience and exclude existing active deals. Each billed assessment links to its campaign conversation and attendance evidence. A reported sale and a collected payment stay separate; campaign attribution alone does not prove an extra sale.

What if I want to stop?

You can stop future sends. The written scope sets the end date, spending limits and how completed work is charged. Unused appointment credit is returned, and you receive exportable campaign records. No automatic renewal or extra spend.

A useful starting point is around 1,000 potentially relevant records, with at least 500 eligible contacts after review. A smaller database can still be considered if the job economics and scope make sense. Raw database size is not the same as a usable audience.
